Snowball Flow for Mac
Last updated: October 27, 2026
Snowball Flow is a simple focus app. You plan one task, run a timer, and keep a log. This policy explains what data the app uses, where it goes, and how to delete it.
Short version:
- We keep what you write in the app (tasks, notes, impulses, goals, books) and your timer history, so the app can show it back to you.
- Your Journal is kept on your Mac, not on our servers.
- We never sell your data. We don't show ads.
- AI features send the text or voice you give them to OpenAI. Nothing else does.
- Your Google Calendar busy times, your contacts and your messages never leave your Mac.
- You can delete your account and everything in it, at any time, from inside the app.
Who we are
Snowball Flow is made by a small team of independent developers ("we", "us"). Questions about privacy: info@snowballflow.com.
What we collect
Your account
You sign in with Google. We get your email address, your name, and a Google account ID. We use them to sign you in and keep your data separate from everyone else's.
What you put in the app
- Tasks, their plans and steps, notes, and dates
- Impulses (quick thoughts you write down)
- Goals and schedules
- Books you add, their chapters, and your test answers and scores
- Workspaces and their names and colors
- Timer history: when each block started and ended, and how it ended
- Your timezone, so days and hours match where you are
This is stored on our servers so you can see it on any device.
Insights
Every night our server looks at your last 90 days of timer history and saves a short summary for you, like how many blocks you finished. It uses times and counts only, never what you typed. You see it in Settings → Insights. Only you can see it.
Usage events
The app sends short usage events, like "a block started" or "a task was created", so we can see which parts of the app are used. These events contain counts, minutes, and yes/no values only. Never what you typed. They are linked to your account ID. An analytics provider stores them for us.
Update checks
The app checks for new versions at mac.snowballflow.com. This request includes your IP address and the app version, like any web request. We don't use it to track you.
What stays on your Mac
These are only on your Mac. We never receive them.
- Sign-in sessions. Your Snowball Flow sign-in and your Google Calendar connection are kept in the macOS Keychain.
- Your Journal. Your daily notes, the problems found in them, and their diagnoses are kept in a file on your Mac. If you wrote a journal in the app before October 27, 2026, the app copies it to your Mac once. That older copy stays on our servers until you delete your account.
- Offline work. If you use the timer offline, the app keeps it in a file on your Mac until it can send it to us.
- Google Calendar busy times. Used on your Mac to find free time for tasks. Never sent to us.
- Contacts. Used only when you send an impulse as an iMessage, to find the person's phone number or email. Never sent to us.
- Settings like theme and zoom.
Optional features
Each of these only works if you turn it on or use it.
AI helpers
Some features use AI: task suggestions, clarifying questions, sorting impulses, breaking a goal into tasks, a tiny first step when you're stuck, a book's chapters and test questions, finding problems in your Journal and diagnosing them, and spoken nudges. When you use one, the text it needs (for example your notes, task names, impulses, goal, book title, or Journal) is sent through our server to OpenAI to get an answer.
Your Journal and the tiny step are not stored on our servers. They only pass through to get the answer.
We ask OpenAI not to store these requests. OpenAI does not use data sent through its API to train its models. OpenAI may keep requests for up to 30 days to check for abuse, as its own policy says.
Voice dictation
When you click the microphone, the app records your voice until you stop. The recording is sent through our server to OpenAI to turn it into text. We don't keep the recording. The app asks for microphone permission the first time.
Google Calendar
If you connect Google Calendar in Settings, the app asks Google for permission to:
- Create and manage one calendar called "Snowball Flow". The app puts your dated tasks there (task name and time). It does not touch your other calendars.
- See your list of calendars and see when you are busy. This is used on your Mac to plan tasks around your busy times. It never leaves your Mac.
Your Google connection is stored in your Mac's Keychain, not on our servers. You can disconnect it in Settings at any time. You can also remove access at myaccount.google.com/permissions.
Snowball Flow's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
Send as iMessage
You can send an impulse as a text. The app looks up the person in your Contacts and sends the message through the Messages app on your Mac. macOS asks for permission first. The message goes through Apple's iMessage, not through us.
Who we share data with
We only share data with the services that run the app:
| Service | What for | What it gets |
|---|---|---|
| Hosting providers | Sign-in, database, our server, and app updates | Your account and everything you put in the app |
| Analytics provider | Usage events | Events with your account ID, never what you typed |
| OpenAI | AI helpers and dictation | Only the text or voice you send to an AI feature |
| Sign-in, and Calendar if you connect it | What's described above |
We don't sell your data. We don't share it for ads. We may share data if the law requires it.
Where your data goes
These services may store or process your data outside your country, including in the United States. When data from the EU or UK leaves it, we rely on the safeguards the law allows, such as the providers' Standard Contractual Clauses.
How long we keep it
We keep your data until you delete it or delete your account. When you delete your account, everything in it is deleted from our database right away. Backups and logs at our service providers may keep copies for a short time before they are erased.
Delete your account
In the Mac app, go to Settings → Account → Delete account. This deletes your account and everything in it: tasks, impulses, goals, books, history, insights, and workspaces. It also deletes the Journal file on that Mac. It can't be undone.
You can also email us at info@snowballflow.com to ask for a copy of your data, to fix it, or to delete it.
Your rights
Depending on where you live (for example, the EU, UK, or California), you may have the right to see, correct, export, or delete your data, and to object to how we use it. To use any of these rights, email info@snowballflow.com. You can also complain to your local data protection authority.
We use your data because you asked for the app to work (to provide the service), and for usage events, because we have a legitimate interest in improving the app.
Security
Data is sent over encrypted connections (HTTPS). Each person can only reach their own data; the database enforces this. Sign-in tokens on your Mac are kept in the Keychain.
Children
Snowball Flow is not for children under 13 (or under 16 in the EU). We don't knowingly collect their data.
Changes
If we change this policy, we'll update the date at the top. If the change is big, we'll tell you in the app or by email.
